EXECUTIVE ASSISTANT TO THE PRESIDENT

Reports to: President
Summary of Responsibilities:
The Executive Assistant is responsible for completing administrative tasks including scheduling, correspondence, creation and upkeep of client files, dictation, etc. The Executive Assistant provides direct administrative support to the President.
Key Duties:
- Prepares requests for proposals, proposals, reports, agendas, and minutes in accordance with regulations established by the Ralph M. Brown Act (where applicable)
- Ensures the timely completion and distribution of minutes, agenda, reports and other projects.
- Coordinates and attends meetings and retreats including, scheduling, travel, catering, preparation of relevant documents, etc
- Prepares action list after client meeting and ensures that items are completed in a timely manner
- Creates, updates, and maintains client files and records including administrative manual
- Works with various contacts including brokers, third party administrators (TPAs), Administrators, Accounting Managers, regulatory agencies, excess carriers, client members, group members, etc.
- Ensure all filings with regulatory agencies are completed in a timely manner
- Composes, edits, and proof reads, all correspondence.
- Quickly responds to various requests for information from brokers, Administrators, TPAs, etc.
- Performs other tasks upon request
Qualifications:
- Must have at least five years general office experience, preferably in the health and welfare benefits environment, and three years of increasing responsibility
- Bachelors Degree preferred
- Must be willing and able to travel to client meetings and functions
- Able to present information effectively and persuasively
- Basic computer proficiency and familiarity with MS Word, Excel, PowerPoint and ACT
- Effective organization, time management, and prioritization skills
- Experience with account management or customer service helpful
- Excellent written and verbal communication skills
